Email templates

An email template is a subject and a message you reuse. Record fields (first name, company, amount…) are variables in it, filled in when sending. A template is plain text, or designed in the colors of your brand kit.

The Templates page: the Brand kit card, the Plain text, New blank template, Import HTML and Create with Atlas buttons, then three email templates with their preview and their Organization or Personal badge.
  • In the writing window, the Template button applies a template and fills it from the record.
  • In automations, the email sending blocks and “Send to my lawyer” use a chosen template. They read its current version at each send.
  • In a sequence, an email step can use a designed template.
  • An email to all contacts can go out with a designed template.

Each card shows a preview, the format (Plain text or Designed) and the subject. Personal: only you see it. Organization: all members use it, and only the Owner and Admins change it. The bin deletes a template; this is refused while an active automation uses it.

Variable Replaced by
{{ fiche.<key> }} a record field, for example {{ fiche.first_name }} or {{ fiche.amount }} (the field key is in Data model)
{{ contrat }} the name of the attached contract
{{ expediteur }} your name
{{ date }} today’s date (dd/mm/yyyy)

Numbers are written in French format, dates as dd/mm/yyyy, choices by their label and linked records by their name. An unknown variable stays as is in the message.

Designed templates also have:

  • {{ message }}: the text you write when sending (writing window, sequence step, automation block).
  • {{ lien_creneaux }}: your booking link; empty if you have none.
  • {{ desinscription }}: the unsubscribe link, added for sequences and emails to all contacts.
The Edit “Lawyer review” window: name, subject with the fiche.name variable, message, the list of variables and the Organization template switch.

Plain text opens the template window; click a card to open it again. Give a Name, a Subject and a Message, with variables. The Owner and Admins see the Organization template switch, to make it usable by all members; this sharing depends on your plan.

Three ways to start. In all three, the template then opens in the editor.

  • New blank template: a header, a title, a text, a button and a footer in your brand kit, to replace.
  • Import HTML: reuse an email from another tool.
  • Create with Atlas: describe the email and pick one of three suggestions.

Designed templates created from the app are personal.

The Create with Atlas window: the description of the email, the use Email to a contact, Sequence or Email to all contacts, the Keep room for the message box and the Suggest button.
  1. Describe what the email should say.
  2. Choose the Use: an unsubscribe link is planned for a sequence or an email to all contacts.
  3. Tick Keep room for the message if the template should keep only the header and footer: you will write the text at each send.
  4. Click Suggest.
Three suggestions from Atlas: Announcement, Key points and Letter, each with its preview, description, subject and the Pick and edit button.

Atlas suggests three layouts in your brand kit, following its tone and rules. Nothing is saved before Pick and edit. Try again asks for three other suggestions, Change the request goes back to the description.

The Import an HTML email window: the HTML code area, the Choose an .html file link and the Convert into editable blocks or Keep as is choices.

Paste the code of an exported email (Mailchimp, Brevo, HubSpot…) or choose an .html file, then:

  • Convert into editable blocks: Atlas rewrites it into blocks, with the same images and links.
  • Keep as is: the layout and CSS are kept in a single code block; scripts are removed. Atlas cannot revise this template: to do so, import it again and convert it.

The editor of the Open house invitation template: the blocks on the left, the subject and preheader, the email in the middle, the Desktop, Phone, Check and Save buttons, and the Revise with Atlas panel on the right.
  • Blocks: drag a Title, Text, Button, Image, Columns or Divider into the email. Time slots adds a button to your booking link, Signature your name, Variable a record field, Message the place of the text written when sending.
  • Subject and Preheader: the preheader is the line shown after the subject in the inbox.
  • Settings: click an element of the email to show its settings (link, colors, margins…) on the right.
  • Images: an Image block opens the organization’s images, or Upload an image (PNG, JPEG, GIF or WebP). Arcane hosts them for sending: anyone with their address can open them, as in any email.
  • Desktop and Phone change the preview width.
  • Save keeps the template. If you leave the page with unsaved changes, the editor asks you first.

Colors, fonts and logo come from the brand kit at send time: changing the brand kit changes all your designed templates.

The Check the template window: the checks (size, images, links, contrast, variables), the desktop and phone preview with sample values, and the text version.

Check shows the email with sample values, on desktop and on phone, and checks:

  • Size: Gmail clips an email whose HTML is over 102 KB.
  • Images: each image has alt text, shown when images are blocked.
  • Links: https, mailto or tel.
  • Unsubscribe: required for a sequence or an email to all contacts; if missing, Arcane adds it in the footer. Choose the use at the top of the window.
  • Contrast: at least 4.5:1 is recommended for text and buttons.
  • Variables: the record fields used.
  • Web fonts: replaced by the fallback font in mail apps that do not load them.

The Text version, computed from the layout, goes with the email for mail apps that do not show HTML.
