Booked meetings
When someone books on your link, the meeting is placed in your calendar, and the CRM finds or creates the person’s record, prepares a task and notifies you.
What the person booking sees
Section titled “What the person booking sees”- 1The meeting type
- 2The date and the time zone
- 3The chosen time slot
- 4The chosen option
- 5Confirm booking
The person picks a date, then a time slot, shown in their time zone (detected, editable). They give their name and email, choose how to meet among the options you offer, and can leave a note. If they want you to call them, they give their number. Time slots are checked again on confirmation: a slot taken in the meantime is flagged to them.
Arcane sends no email: the invitation is sent from your calendar, with the video link and the links to reschedule or cancel. The person can reschedule a limited number of times, and up to the type’s minimum notice; they can give a reason, which is passed on to you.
What the CRM creates
Section titled “What the CRM creates”- The event in your destination calendar, with the chosen option (a Meet or Teams link created, your Zoom or video link, or the number).
- The contact: found by their exact email, otherwise created in your name, with the source “booking”. It is linked to the company of its domain, like any new contact (see Companies and domains).
- The opportunity: if the company has open opportunities, the meeting is linked to the most recently active one.
- The task “Prepare the … meeting with …”, due on the meeting day, with the note the person left.
- The activity in the record’s history, private.
A notification shows in the app and a card in Today. When the contact has just been created, the card explains what Atlas linked it to:
- Change deal links the meeting to another opportunity of the company, or to none.
- Cancel archives the created contact and its task; the meeting stays in your calendar.
A reschedule or a cancellation by the person is also reported to you. After a cancellation, Prepare a follow-up opens an Atlas draft, which you review before anything is sent.
On the contact record
Section titled “On the contact record”The right column of the record shows the Upcoming meeting booked through your link:
- Invite or Remove the recorder for this meeting.
- Reschedule: choose another free time slot and, if you want, a reason; the invitation is updated for the person.
- Cancel: the event is removed from the calendar, which notifies the person, and the prep task is deleted.
Propose time slots by email
Section titled “Propose time slots by email”On a contact record, Propose time slots asks Atlas for an email suggesting a meeting of the default type:
- The time slots are your next free ones. They are not held: the person picks one, and each slot in the email is a link that books that time on your page.
- A slot’s pencil replaces it with another; Other time slots suggests the next set.
- Rewrite asks Atlas for another text, Edit opens the email in the editor, Approve and send sends it from your mailbox.
If Atlas cannot write the draft, a template message shows instead. In the Inbox, the replies prepared by Atlas can also contain your time slots. Opened in the editor with Edit, the draft keeps its time slots: the Proposed slots bar lets you change them and Add the booking link.
