Connect Gmail or Outlook

Connecting your mailbox is what brings the CRM to life: your e-mails with your contacts land on their records, your appointments become meetings, and you can write from Arcane. You can connect a Google account (Gmail and Google Calendar), an Outlook account (Microsoft 365), or both, and several accounts of each.

  1. 1Shared mailboxes (admins)
  2. 2Sync now
  3. 3Connect a Google account
Hover a number to find the area.
The Settings › E-mails › Mailboxes page: shared mailboxes, then the Google section with Sync now, Connect Google and a connected account.
  1. Open Settings › E-mails › Mailboxes (or the Mailbox getting-started step).
  2. Click Connect Google or Connect Outlook.
  3. In the Google or Microsoft window, pick your account and accept the requested permissions.
  4. You come back to Arcane with the message “Google account connected” or “Outlook mailbox connected”. The first sync starts in the background.

The connection uses OAuth: Arcane never sees or stores your password, and you can disconnect the account at any time.

Each account appears under its section, with its status and options.

A connected Google account: address, Active dot, Sending allowed badge, last sync, Keep attachments and Email AI Filtering switches.
  • Status: Active, Reconnect (access expired), Disconnected or Error.
  • Sending allowed or Read only: when read only, the Allow sending button restarts the connection to add the right to send.
  • Last sync: when it last ran.
  • Keep attachments: stores the real files you receive (PDFs, documents; not logos or signature images) on records. Once on, the history is fetched in the background.
  • Email AI Filtering: Verdict classifies each received e-mail (opportunity, contact, third party, notification, spam) and, when it is sure, Atlas creates the contact, company or opportunity. Only the person who connected the mailbox can change this setting. On the Free plan, the number of e-mails classified per day is limited.
  • Sync now: runs a sync right away, without waiting for the automatic run.

Some companies don’t let employees approve an app on their own. In that case, the Outlook connection shows a message asking for your Microsoft 365 administrator’s approval.

The Outlook section with the Sync now, Admin approval and Connect Outlook buttons.
  1. Click Request approval (or Admin approval).
  2. An administrator of your Microsoft 365 account accepts the permissions: read and send mail, read and write the calendar.
  3. On return, the message “Approval saved” appears: then click Connect Outlook.
  • When access expires, a banner says so with a Reconnect button, and an orange dot appears on the E-mails section of the settings.
  • Disconnect stops the sync and deletes the access tokens. E-mails already imported stay on the records.
