Filter, group and save a view

A list shows every record. Filters keep only some of them, grouping sorts them into sections, and a saved view remembers it all so you can come back in one click.

The companies list grouped by industry: SaaS, Biotech, Logistics, Retail and Consulting, each group with its record count and total ARR, and the view bar with View modified and Save as view.
The filter form: Field Industry, Condition is one of, a Value to choose, and Add filter.
  1. Click Filter, then pick the field. For a field pointing to another record, like a contact’s Company, a submenu also filters on that record’s fields (for example the company’s industry).
  2. Pick the condition: it depends on the field type (contains, is, is one of, before, between, is empty…).
  3. Enter the value, then Add filter.

Active filters show under the toolbar. When there are several, a record must match all of them. A filter’s cross removes it, Clear filters removes them all.

If your organisation has teams (Scale plan), a person field like the Owner also offers is in team: the list keeps only the records of the chosen team’s members.

The Group by menu: field search, No grouping, the Choices and relations fields (Industry, Customer, Size, Country) then Text, the Group order (Auto, Count, A → Z), Collapse all and Expand all.

Group sorts the records into sections by a field: a choice list, yes / no, a country, a relation (by company, by owner…), a text, a number (by range) or a date (by month). On a table, you can also group by a field of a linked record, for example contacts by their company’s industry.

  • Each group shows its record count and, if the object has amounts, their total.
  • The arrow collapses or expands a group; Collapse all and Expand all act on all of them.
  • Group order: Auto (the field’s natural order: its choice order, Yes before No, ascending ranges, most recent months first; for a text or a linked record, the fullest groups first), Count (fullest first) or A → Z.
  • A group’s + opens the creation of a record already placed in that group.
  • Records without a value end up in No value.

Grouping as a Kanban shows each group as a column (see The pipeline as a Kanban).

As soon as you change the layout, the view bar says View modified. Reset goes back to the original view, Save as view (or New view) keeps it.

The Save view window: the name, Visible to Only me or The whole team, and the summary of what the view keeps (layout, grouping, filters, sort, columns).
  1. Name the view, for example “Customers by country”.
  2. Choose who sees it: Only me, or The whole team (admins only: the view shows for everyone, only admins can edit it).
  3. Check What the view keeps: the table or Kanban layout, the grouping and its order, the filters, the sort and the columns. Search and collapsed groups are not saved.
  4. Click Save view. It appears as a tab in the view bar.

On the active view, the small arrow next to its name offers Rename, share…, Save as new view… and Delete view. If you change a view you can edit, Save updates it. Deleting a view doesn’t touch any record. A shared view carries a small people icon.
