Handle an e-mail with Atlas

In the Inbox, each open e-mail shows its actions at the top: reply, say no reply is needed, tick what Atlas should do, or ask it to prepare everything. Atlas does the work in the CRM, but never sends an e-mail on its own: the reply always goes out from your click.

An e-mail open in the Inbox with, at the top, Prepare with Atlas, Actions, No reply needed and Reply.
  • Reply opens the writing window, replying in the same thread (see Write an e-mail).
  • No reply needed marks the e-mail done: it moves to the Done view. Move back to To do brings it back.
  • Actions opens the list of what Atlas can do for this e-mail.
  • Prepare with Atlas asks it to read the e-mail and prepare everything (paid plans).
  • Reply drafted by Atlas shows up when a reply is already ready: it opens in the writing window, to review before sending.
The What should Atlas do? panel: Reply with Atlas, Create the contact, Create a reply task, Mark as done, Ignore this sender, the Category list and the Atlas, run it button.

Tick one or more actions, then click Atlas, run it:

  • Reply with Atlas: Atlas writes a draft reply, which opens in the writing window.
  • Create the opportunity or Create the contact: offered depending on the e-mail’s category. For an opportunity, Atlas also creates the contact and the company if they are missing.
  • Add the sender to contacts: when the sender isn’t a contact yet.
  • Create a reply task, with its due date (tomorrow by default).
  • Mark as done: ticked by default.
  • Ignore this sender: this e-mail is marked done, and the sender’s next e-mails go straight to Spam and noise for this mailbox.
  • Category: Move to… another category, with Always for this sender to make it a rule.

With Prepare with Atlas, Atlas reads the e-mail, the thread, the sender’s record with its open opportunities and tasks, and, if Atlas’ memory is on, what it remembered. After a few seconds, the e-mail gives way to its preparation.

Atlas' preparation: Verdict's box, then the In short summary and the prepared reply, with the Apply buttons at the bottom.
Further down the preparation: the tone buttons under the reply, the times to offer, the files and information Atlas suggests attaching, its question, and the CRM changes with Remove.
  • In short: what the e-mail asks, in a few lines.
  • Atlas has a question for you: when it’s missing information to answer well.
  • CRM changes, previewed: create or update an opportunity (stage, amount, close date), create or complete a task. Each line has Keep or Remove, and shows its source. Nothing is written until you apply.
  • Decision taken from memory: when Atlas relies on something it remembered, it shows it. Ignore for this e-mail takes it out of the preparation.
  • Prepared reply, never sent without you: Shorter, Warmer or More formal rewrites it.
  • Atlas suggests attaching: files from the record or useful information.
  • Times to offer: your availability, to Add to the reply, with or without the booking link.
  • Contract to sign: when the e-mail mentions one, Send for signature uses the PDF on the contact’s record.
  • Document received: for an attachment, Atlas gives its key information and a summary, and you can ask it a question about the document.

At the bottom, Apply N changes writes what you kept to the CRM, and Apply N changes and open the reply also opens the reply in the writing window. View the e-mail shows the original e-mail; the cross Read the e-mail without Atlas closes the preparation.

The Atlas’s automatic actions button, at the bottom of the Inbox column, sets what Atlas does without waiting, category by category.

The What Atlas does on its own window: for each category, the Create the record, Create a task, Prepare a reply and Mark as done switches.

When Verdict is sure of the category (85% or more), or one of your sender rules applies, Atlas takes the actions switched on for that category:

  • Create the record: the opportunity or the contact. On by default for Opportunity, Business contact and Third party.
  • Create a task to reply.
  • Mark as done.

Prepare a reply doesn’t depend on that level of certainty: the reply is prepared as soon as the e-mail is classified, if the switch is on for its category (paid plans). It’s on by default, except for Notification, Newsletter or ad, Cold outreach and Spam. For the categories you created, it’s the only action offered.

This setting is personal and only applies to the mailboxes you connected. Atlas never sends an e-mail on its own and changes neither Gmail nor Outlook. If you undo a record it created for a sender, it won’t create it again on its own for that sender.
