Team link
The team link is a shared booking page, for example for your company’s website. Visitors pick a time slot where at least one participant is free; their request arrives “up for grabs” for all participants, and the first one to take it gets the meeting.
- 1The link of the whole organization or of a team
- 2Turn the link on
- 3Copy the link
- 4The participants
- 5The options offered
Set up the link
Section titled “Set up the link”Open Settings › Calendar and meetings › Booking, then Team link in the Plan limits card. Other members see the page without being able to change it.
- Link for: the link of the whole organization, or that of a team when your plan includes teams. A team’s link is created the first time you save it.
- Public link: the toggle turns the page on; Copy copies its address.
- Participants: for the organization’s link, tick the members who receive requests. For a team’s link, they are its members, except viewers (Edit the team to change them).
- Video and phone: the options offered to the visitor. An option is offered on a time slot only if a free participant can provide it; the participants’ personal settings do not apply here.
- Meeting type: name, duration, team hours, buffers, minimum notice, maximum per day (per participant), booking window and time zone, as for a personal type. Each participant keeps their own calendar.
Take a request
Section titled “Take a request”The visitor sees “Request sent”. Participants get a notification, and the request shows in Meetings without a sales rep on the Today page, where all members see it. Each request shows whether you are free at that time and the chosen option.
- I’ll take it: the first one to click gets the meeting. The invitation is sent from their calendar, and the contact, the task and the activity are created in their name, as for a booked meeting. The button is greyed out if you cannot provide the chosen option; if you already have a meeting at that time, taking it is refused.
- Suggest other times or Send my link: releases the request and opens a pre-filled email for the visitor. If the request comes from the chat, your time slots or your link are sent in the conversation.
- Not for me: hides the request for you only. You get no more reminders for it, and automatic assignment skips you.
Only participants take, decline or replace a request.
In Meetings, the Week view shows the requests up for grabs as hatched blocks next to your meetings.
If nobody takes the request
Section titled “If nobody takes the request”- After 1 hour without a taker, participants get a reminder.
- 2 hours before the start, the meeting is given to the free participant who has the fewest that week.
- If no participant is free, the Owner and Admins get an alert in Today.
- A request whose time has passed without a taker expires.
