Companies and domains

A company’s domain (nebula.io for Nébula Systems) links its contacts automatically: any CRM contact with an @nebula.io address is filed under Nébula Systems, without you doing anything. A mere correspondent becomes a contact when you import them (see Suggested contacts).

A contact finds their company

When a contact is created, or their address changes, and their Company field is empty:

  1. the CRM looks at the domain of their e-mail address;
  2. if a company has that domain, the contact is linked to it;
  3. otherwise the company is created, with a name taken from the domain (kairos.ai gives “Kairos”), then the contact is linked to it.

A Company field that is already filled is never replaced: if you picked another company, your choice stays.

A company finds its contacts

When you create a company with a domain, the contacts of that domain who have no company yet are linked to it right away. Then, if AI is available, it fills in the company’s empty fields in the background (industry, headcount, website…) from the e-mails exchanged with that domain and, when it’s on, web search. Allow a few seconds; if the fields stay empty, reload the page. The name taken from the domain can also be replaced by the company’s real name, as long as you haven’t changed it.

What a company record shows

  • The summary and the Activity tab cover the company and all its contacts: you see at a glance where the account stands.
  • The Attachments field also gathers the attachments from its contacts’ e-mails.
  • The avatar is the company website’s icon. For a contact, it’s their Gravatar photo if they have one, otherwise their company website’s icon, otherwise their initials.

Stop suggesting a domain

When you delete a company, the window also offers Stop suggesting anyone from that domain: its people will no longer be suggested to you as contacts (see Archive, restore, delete).
