Contacts suggested from your e-mails

Once your mailbox is connected, Arcane spots the people you exchange with who aren’t in the CRM yet. They show up in the Suggested contacts panel, at the top of the contact list: you choose who becomes a contact.

Who is suggested?

An address is suggested only if it’s a real correspondent on an e-mail you can read: someone who wrote to you, or whom you wrote to. Not suggested:

  • people who are already contacts (same address, or same first and last name as an existing contact);
  • addresses whose e-mails are all filed by Gmail under Promotions or Social;
  • addresses you hid or dismissed;
  • addresses from your own organisation.

Suggestions are sorted by number of e-mails exchanged.

What each row shows

  • The name (“Unknown name” when the address has none) and the address.
  • The company: greyed out if it already exists in the CRM, in violet with (new) if it will be created from the address domain. A Gmail, Outlook.com or other consumer address never creates a company.
  • The number of e-mails and the date of the last exchange.
  • Click the row to read the e-mails exchanged with that person.

Create the contacts

  1. Tick the people to add, or Select all.
  2. Leave Fill with AI ticked so Atlas fills in the job title, phone or company website from your e-mails.
  3. Click Create selection (or Create all).
  4. A progress bar follows the creation. The Stop button halts the import after the current batch.
  5. The summary gives the contacts created, those that already existed, the companies created and the fields filled by AI, with a link to each record.

For a single person, the row’s Create button opens the contact form already filled in: you check it before saving.

Clean up the list

  • Remove promotions: Atlas analyses the suggestions and removes newsletters, promotions and automatic notifications. The message says how many addresses were removed, with a button to undo.
  • Hide (the crossed-out eye): the address is no longer suggested, for the whole organisation.
  • Stop suggesting (the crossed-out envelope): the address, or its whole company, is no longer offered as a contact, here or by Atlas, for your mailboxes. Its e-mails stay in the CRM and in the Inbox. It can be reversed in Settings › E-mails › Dismissed contacts.
