Your booking link

Each member has a public booking page. Your clients pick a free time slot in your calendar there, and the meeting lands straight in your calendar and in the CRM.

The Scheduling page: the My booking link card with the toggle, the link address, Copy link, Add to my signature and Preview page, then the Video and phone card.

Time slots come from your Google or Outlook calendar, connected in Connect Gmail or Outlook. Without a connected calendar the page opens, but your guests see no time slots, and a warning shows at the top of the Scheduling page.

  • The toggle turns the link on or off. When it is off, the page tells your guests the link is no longer active and invites them to contact your organization.
  • Copy link copies the address of the default type. The address without a type also opens the default type; each type has its own address.
  • Preview page opens the page as your guests see it.
  • The My booking link button on the Meetings page copies your link without a type.

The page uses your organization’s colors (see Branding) and shows in French or English depending on the guest’s browser; the guest can switch languages.

Tick the options your guests can choose. Only the ones you can provide are offered to them:

  • Google Meet: a Meet link is created for each meeting; it needs a Google calendar.
  • Microsoft Teams: a Teams meeting is created in your Outlook calendar; it needs an Outlook calendar.
  • Zoom: your personal Zoom link is sent to the client. The CRM does not create Zoom meetings.
  • Other video links (Whereby, Jitsi, Webex…): add each link with the name shown to the client; each one becomes a choice.
  • Phone: you call the client: the guest gives their number.
  • Phone: the client calls you: add your number; it is given to the guest.

A ticked option that cannot be provided shows what is missing in orange. Click Save after changing the links or the number.

The Meeting types card: the New type button and the Discovery type, 30 minutes, with its options, its hours and the Default badge.

A meeting type has its name, its duration and its own rules. Click a type to edit it, or New type. When your plan allows no more active types, the button is greyed out and its tooltip explains why.

The Discovery type form: name, duration, description, availability per day, buffers before and after, minimum notice, maximum per day, booking window, time zone, video options, recorder, default type and Offered on the page.
  • Availability: the time ranges offered for each day of the week; + adds a range on the same day.
  • Buffer before and Buffer after: the time kept free around each meeting and your other events.
  • Minimum notice: no bookings less than this ahead of the slot.
  • Maximum per day: the number of meetings of this type per day.
  • Booking window: how far into the future people can book.
  • Reference time zone: the one your availability is set in. Guests see time slots in their own time.
  • Video and phone: the options offered for this type; Change for all my types takes you to the card on the Scheduling page.
  • Invite the recorder: the bot joins the call, records and summarizes (see Record a meeting). Recorded time counts toward your organization’s quota.
  • Default type: the one opened when the link has no type.
  • Offered on the page: when disabled, the type’s link no longer shows time slots.

Deleting a type that still has upcoming meetings only deactivates it.

The Calendars page: the connected Google Calendar account, the calendars ticked Count as busy, and the destination calendar.

The Calendars used link in the Plan limits card opens this page:

  • Count as busy: events in the ticked calendars block time slots.
  • Destination calendar: the one where booked meetings are created, with the chosen video link.

With Outlook, only the primary calendar is used. With Google, if only the primary calendar shows, reconnect Google in Settings › E-mails › Mailboxes to choose the others.

The Email signature window: the preview with the Book a meeting with me link, the signature text, the link text, the type choice and the link address.

Add to my signature adds a signature ending with a booking link to your emails sent from Arcane, including Atlas’s drafts. Choose its text and the meeting type it opens, then Save signature. Remove from my signature takes it off.

The Time slots suggested by Atlas card with its toggle, and the Plan limits card: active types, bookings this month, slots per draft, team link, and the Calendars used and Team link links.

When it is on, Atlas adds your next free time slots and your link to the email drafts that suggest a meeting (see Booked meetings). You always approve before sending.

The Plan limits card shows what your plan allows: active types, bookings this month, team link. Once the month’s bookings are used up, your guests see “No times available” with a link to write to you, until the next month, and you are notified.

The Public pages page: the logo, the main color, the privacy policy URL, the Arcane CRM mention and the preview of the public page.

In Settings › Calendar and meetings › Public pages, the Owner and Admins choose what applies to the booking pages of the whole organization:

  • Logo: PNG or SVG, square, 512 KB max.
  • Main color: the color of buttons and time slots. Its contrast with the white button text is checked.
  • Privacy policy: its address shows under the form. Informing the people who book is your organization’s responsibility.
  • Show “Scheduling powered by Arcane CRM”: in the footer and in calendar invitations. Depending on your plan, you can hide it.
